Guide to looking after your equipment

Keeping your equipment operational and up-to-date over its lifetime is essential for every business. This guide provides you with information to help you do just that, with sections on:

Pitney Bowes has a support network of around 300 service professionals, trained to get enquiries answered and technical difficulties resolved quickly.

If you call you will be asked to confirm your details (such as the model, and meter or serial number of your equipment), before logging your enquiry or fault. This information can be found on the letter sent with your Welcome Pack.

Where possible, we will try to answer your questions over the telephone to minimise the amount of disruption and downtime. If the fault cannot be fixed over the telephone, an engineer will be dispatched to take a closer look.

Response time will depend on your maintenance/service plan:

  PBSelect – On average we’ll respond within the next day, subject to level of demand.
  PBSelect Plus – On average we’ll respond within 6 hours, subject to level of demand, as well as cover the cost of all parts.

If you do not have a maintenance/service plan, you will need to contact the service team for confirmation of response times and prices.

PBSelect customers are advised to have 'Preventative Maintenance' every 12 months to ensure that they get the best efficiency from their equipment,(please note this service is chargeable).

You can notify us of a change to your address in a number of ways:
  Call one of our advisors
  Complete the online form here

If you need an engineer to install your equipment at your new address, this can easily be arranged through our service team by calling one of our advisors.

If your postcode changes or you move office you may need a new town circle for your equipment. To order a new one, you can fill out the change of address form online, or call an advisor who will be able to help.

Changing your advertising plate

Get more from your mail by changing the message on your frank mark. Whether you want to promote your latest offering, your web address or want to wish your customers a Happy Christmas, you can interchange between messages as much as you want.

All you need to do to ensure your ad plate is created quickly and correctly, is send your original artwork with your order, either as a hard copy or as a bitmap (.bmp) or tiff (.tiff) file. Always ensure you quote your account number or serial number (located on either the back or the bottom of your meter) on your order.

Tip: Since 4th October 2004, customers need to include an external return address (ERA) on their envelope if they want their undeliverable mail returned to them. Adding a return address to your advertising plate is an ideal way to ensure that your undeliverable mail isn’t destroyed by the Royal Mail. To order an ERA online, click here
 
Royal Mail rate changes
Each year the Royal Mail reviews the postage rates for their various postal services, including First and Second Class mail, Special Delivery and Parcelforce.

Pitney Bowes will notify you a few weeks before the change so that you can order an updated chip for your scale in plenty of time. Customers with a maintenance/service plan will be able to have a number of free updates (see your terms and conditions for details).

If you have IntelliLink equipment, you will need to subscribe to a rates contract annually which will entitle you to free unlimited updates.
